Tech Tip:  Removing Personal Information in a Word File Part 2

Last week, we learned about how to remove personal information from being embedded in your Word files.  OK what if you want to make every file like this no personal information is saved with all Word files?  You need to do the same thing we learned about last week to the Normal.dot file.  The Normal.dot file is the default blank file that opens whenever you start a new document. 

 

This is a little more complex process but easily done.  Follow these steps to find your Normal.dot file (it is a hidden file - we have to unhide it) and then make the change to it.

 

  1. Double click on My Computer.
  2. Click on the Tools menu in the top menu bar.
  3. Click on Folder Options...
  4. Click on the View Tab
  5. Click on the little button next to "Show hidden files and folders" (in the Advanced Settings box)
  6. Click OK.
  7. Double click on Local Disk (C:)
  8. Double click on the Documents and Settings folder
  9. Double click on the folder with your user name
  10. Double click on Application Data. (That folder will be dimmed)
  11. Double click on the Microsoft folder.
  12. Double click on the Templates folder.
  13. Right click on the Normal.dot file and select Open (be sure to open it this way).
  14. Make the changes to your file by click on the Tools menu, then click on Options, and click on the Security tab.  Click on the box next to "Remove personal information from the file on save." 
  15. Save your Normal.dot file.  Since you change a security setting you may get a privacy warning just click OK to close the pop-up.
  16. Now you need to hide your hidden folders again
  17. Click on the Tools menu in the top menu bar.
  18. Click on Folder Options...
  19. Click on the View tab.
  20. Click on the little button next to "Do not show hidden files and folders" (in the Advanced Settings box)
  21. Click on OK.
  22. Close all the open windows and you are done!

Now all the Word files created on your computer will have no personal information hidden in the file.
